Can You Trace One Greenhouse Produce Lot Both Ways?

Choose one packed produce lot and try to follow it backward to its source records and forward to every recorded destination. The exercise succeeds when the records connect and the quantities make sense, including splits, combinations, stock still held and documented losses. A folder full of forms is not enough if the link between them is missing.

This is a mock-recall records exercise using an imagined concern. Mark it clearly as EXERCISE. It is not an instruction to recall product, contact customers or change the release status of actual stock.

Set the exercise boundary before starting the clock

Name an exercise leader and identify the authorized procedure, customer requirement or food-safety program that sets the objective. Record which lot, process stages and records are in scope, who may access them and how the results will be assessed.

The University of Maryland’s produce recall-plan guide recommends mock recalls to test the plan and team roles, with findings used to improve the system. Its guidance is written for Maryland growers. Use the requirements applicable to your own operation, rather than treating a regional example as certification.

Set any completion-time target from the applicable program or agreed exercise objective. There is no universal four-hour pass mark in this worksheet. Record when the clock begins, which pauses count and what evidence must be available by the target.

Use the farm’s real records internally where authorized, but keep the triggering scenario fictional. Do not insert fictitious movements into the live stock system. External contact should occur only under an expressly approved exercise plan, with recipients clearly informed that it is an exercise.

Start with a label someone can actually read

Select a packed lot from a defined period and preserve a copy or photograph of its actual label in the exercise file. Record the product, lot code, pack format, packing date and the system in which that identity should be found.

Ask the team to retrieve the linked packing record without relying on the person who remembers packing it. Note how the record was found, how long retrieval took and whether a second authorized person could repeat the search.

Follow the link backward to the harvest record and relevant greenhouse block records. Where the farm’s system links propagation lots, crop operations or irrigation blocks, verify those references too. A shared location or date is not automatically a unique lot identifier; record ambiguity instead of choosing the most convenient match.

The FDA’s cucumber supply-chain example shows that traceability information can be linked through common identifiers across records. It illustrates a US regulatory framework. Here, the practical lesson is to test the link; this article does not determine your legal coverage, deadlines or required data fields.

Follow splits and combinations in both directions

Trace the selected lot forward to stock on hand, dispatch records and recorded recipients. Include internal transfers and repacking if they occurred. Keep a reference to the source record for each movement.

A split needs a connection from the parent lot to each child lot or destination. A combination needs links to all contributing lots as well as the resulting output. Do not assume a packing date alone preserves those relationships.

Ask a second question after tracing backward: can the team now identify the other output lots connected to the same selected source within the exercise scope? This checks whether the record works in both directions, rather than only allowing a search from a known finished label.

Keep potentially connected records visible when an identifier is ambiguous. The exercise should reveal that uncertainty. It should not resolve the scope of an actual recall or a crop-release decision without the responsible food-safety team.

Reconcile quantities at a defined boundary

Choose one unit and one process boundary for each balance. For a packing input lot, the record might account for input as packed output, remaining work in progress, rejects and documented process loss. Do not add raw harvested weight directly to counts of mixed-size cartons.

Where units change, use the recorded conversion or actual quantity evidence. State whether carton weights are measured or nominal. Distinguish a documented loss from an unexplained difference; entering “waste” solely to make the figures balance defeats the exercise.

For a selected finished lot, reconcile the quantity produced with quantities still held, dispatched and otherwise legitimately accounted for in the records. If a lot has been combined with another lot, use a separate balance at that transformation. Do not count the same output twice in an attempt to follow every branch.

Download the two-way link log and the quantity reconciliation sheet. Mark every working copy EXERCISE and keep customer details in the farm’s authorized records rather than a public example.

Record the first broken link precisely. “Traceability needs improvement” is hard to act on. “Child lot code appears on the pack label but not on the repacking record” identifies a specific relationship to repair.

Finish with a retest, not a certificate

Review the exercise with the people who create and retrieve the records. Assign an owner to each gap. A revised form, clearer lot code or changed record location is only a proposed correction until the team demonstrates that the link works.

Retest the affected path using another suitable lot or the agreed exercise method. Record whether retrieval and reconciliation now meet the objective. Keep the initial failure visible with the correction instead of rewriting the first exercise as a pass.

If a real product-safety concern emerges, stop treating it as an exercise and escalate through the operation’s authorized incident procedure. The separate crop-hold and release guide addresses that different decision. This worksheet does not make recall, notification or release decisions.

A useful mock recall ends with evidence of what the records can trace, the gaps they cannot yet resolve and the next verified correction. It does not create a certification or prove that every lot will be traceable under every circumstance.
